Terms of Service

These Terms of Service govern your access to RoomReady’s housekeeping coordination platform. By creating or using an account you confirm you are authorised to act for your hotel and agree to the obligations below.

1. Service overview

RoomReady provides localised manager dashboards, cleaner checklist flows, offline-first sync, real-time sockets, and push notifications to keep rooms on schedule. Access requires a verified hotel account and a supported desktop or mobile browser (Chrome, Edge, Safari, or Firefox in the current or prior major version).

2. Subscriptions and billing

Every hotel begins on the 30-day RoomReady Starter trial. After 30 days, plans auto-renew at ฿600/month (≈$19 USD) until cancelled through Settings → Billing. Cancel anytime; no refunds are issued for partial months. We email reminders 7, 3, and 1 day before the trial ends and may suspend access when invoices remain unpaid for more than 7 days after the due date. A higher-capacity Pro tier is planned—details will be announced before launch.

3. Customer data

Hotels retain ownership of room data, checklists, staff rosters, notifications, audit logs, and analytics events created in the service. You may export CSV/JSON snapshots anytime from Settings → Export. After termination we delete hotel data within 30 days except records we must retain for accounting or legal requirements (e.g., financial records for 7 years). We may suspend or terminate immediately for material breach, security risk, or legal requirement.

4. Acceptable use

You agree not to send more than 1,000 notifications per hour, attempt SQL injection or API abuse, reverse engineer the service, impersonate another hotel, or violate the Thai Computer Crime Act or other applicable law. We may throttle or suspend accounts that put service stability, security, or privacy at risk and will notify you beforehand when practicable.

5. Support and service commitments

Support is available via support@roomready.app. We monitor uptime, maintain audit logs, and ship updates to improve performance, accessibility, and compliance. Certain changes may require configuration updates; we share guidance in release notes, status emails, or in-app banners.

6. Warranties and liability

RoomReady is provided “as is” and “as available.” To the fullest extent permitted by law we disclaim all warranties, including merchantability, fitness for a particular purpose, and non-infringement. Our aggregate liability for any claim is limited to the fees paid to RoomReady in the 12 months before the event giving rise to the claim. Some jurisdictions do not allow certain limitations, so these limits may not apply to you.

7. Termination

Either party may terminate this agreement with 30 days’ written notice. You remain responsible for unpaid fees. After termination you may export your data for 60 days, after which we delete hotel records according to our retention policy. We may suspend or terminate immediately if required by law, to address a security risk, or due to a material breach.

8. Privacy

Our Privacy Policy at /privacy explains what data we collect, how we store it in Thai and EU data centres, how analytics providers process it, and the rights available under GDPR and applicable local law (access, correction, portability, deletion).

9. Refunds

Trial cancellations incur no charges. Paid subscriptions may request a refund within 14 days of billing by contacting support@roomready.app. Refunds are not available after that window and do not cover partial months already used.

10. Changes to these terms

We provide at least 30 days’ notice of material changes via email and a dashboard banner. Continued use after the effective date constitutes acceptance. If you disagree with a change, you may export your data and cancel before the change takes effect.

11. Governing law and venue

These terms are governed by the laws of Sweden. Disputes will be resolved exclusively in the courts of Stockholm, Sweden, and both parties consent to that jurisdiction.

12. Indemnification

You agree to indemnify and hold harmless RoomReady, its directors, employees, and partners from any claim, loss, or expense arising from your use of the service, violation of these terms, or infringement of any third-party rights.

13. Force majeure

RoomReady is not liable for delays or failures to perform caused by events outside our reasonable control, including natural disasters, power outages, network or supplier failures, labour disputes, or government actions. We will resume service as soon as practicable once the event ends.
